Choosing an event partner with AI — and how to do it properly
The era of AI as a show-stopping attraction is drawing to a close. Artificial Intelligence has now moved behind the scenes, evolving from a spectacular feature into a strategic co-pilot across the entire lifecycle of a corporate event.
Three paradigm shifts every event manager must master
To navigate this evolution and turn it into a competitive advantage, marketing and event leaders need to understand the new effectiveness criteria being shaped by AI.
– From mass segmentation to attendee-led personalisation
Predictive AI analyses participants’ historical and behavioural data in real time. Its role goes far beyond recommending sessions or networking contacts: it can dynamically adapt agendas, formats and content according to attendees’ interests and behaviour.
Participants no longer simply experience the event. They actively shape it.
– Predictive management of attendee flows and logistics
Advanced algorithms can help anticipate bottlenecks within a venue, optimise session flows to prevent critical overlaps and assess sponsor ROI using real engagement metrics rather than declared attendance alone.
This enables event teams to move from reactive problem-solving to data-informed planning and real-time optimisation.
– The event as an always-on content-generation engine
A two-day event can become a highly valuable source of marketing assets.
AI can analyse panels in real time, identify key insights, produce structured white papers, create vertical video clips optimised for different channels and instantly translate content for international audiences while preserving the brand’s tone of voice.
The value of the event can therefore extend well beyond the venue and the dates on which it takes place.
A new approach to procurement: why copy-and-paste pitch briefs need to go
AI has already transformed event execution. Its potential impact on agency scouting and procurement is even greater.
Let us be clear: the traditional, standardised pitch brief creates an illusion of control. Spending days completing rigid templates does not guarantee that a company will select the right agency.
Flat briefs generate flat pitches. They push agencies towards standardised, predictable and often uninspiring responses. It is time to move beyond this model.
Today, agency selection should challenge the market through dynamic context modelling. AI allows companies to replace outdated templates with advanced prompting methods that can map the market, simulate potential scenarios and conduct a rigorous assessment of candidates based on the specific needs of each event.
A practical guide: advanced prompts for selecting your event agency
Do not simply ask AI: “Which are the best event agencies?”
Use prompts structured around context, constraints and the required output. This can help you move past the bureaucracy of traditional pitch processes and conduct a more focused preliminary assessment.
Here are two examples.
Prompt 1: market screening and longlist generation
Context:
I need to organise an event focused on cybersecurity for 500 corporate decision-makers at C-level. The event must combine a high-impact immersive plenary session, app-based matchmaking sessions and a gala dinner featuring exclusive networking experiences. The estimated budget is €150,000.
Task:
Analyse the event agency market in Lombardy and identify five agencies whose capabilities genuinely reflect the following characteristics:
- Proven experience in premium B2B networking events.
- Strong technological production capabilities and experience managing digital platforms.
- Recognised certifications or a substantial commitment to sustainability, including event carbon neutrality.
Required output:
Provide a comparative table including:
- Agency name
- Core specialisation
- A relevant case study for a B2B target audience
- An assessment of its price positioning: Accessible, Market-aligned or Premium
Exclude generic recommendations.
Prompt 2: reverse-briefing simulation — The stress test
Instead of sending a standardised brief and waiting for the agency to respond, use AI to anticipate potential issues and identify the questions you should ask during the first introductory call.
This will help you test the agency’s actual expertise rather than simply evaluate its ability to respond to a predefined document.
Concept:
Insert a summary of the key elements and objectives of your event.
Task:
Analyse my event concept critically. Identify the three main logistical or conceptual weaknesses that could cause the event to fail or significantly increase costs. These might include unrealistic timelines, technological risks or engagement challenges related to the chosen target audience.
Required output:
Provide five challenging but essential questions that a genuinely competent agency should ask during the first meeting.
The questions should demonstrate that the agency is not simply agreeing with the client, but has a clear understanding of the project and the ability to maintain full control over its development and execution.
Why Is Theoria sharing this framework?
The answer is straightforward: we have developed a strong resistance to buzzwords.
At Theoria, we do not view Artificial Intelligence as a superficial layer to be added at the last minute to impress an audience. We see it as the backbone of our process engineering.
We have studied, deconstructed and integrated the dynamics of generative and predictive models directly into our strategic workflow. We are not intimidated by complex prompts. We actively encourage them.
To understand how flexible our approach can be, do not send us the usual hundred-page PDF.
Use the prompts included in this article. Run your own stress tests and then let us review the results together.
Alternatively, skip the prompting stage altogether and challenge us on even more complex ground: a real-time strategic co-design session.
Success today depends on designing with intention.
AI is no longer a future option. It is part of today’s infrastructure, enabling companies to automate scouting and redirect human energy towards what remains irreplaceable: emotional impact and the deeper value created through human connection.
